How do I get a RMA Number?
The RMA request process differs depending on whether you are based in EMEA or North America.
Below, you can read the RMA process for your region.
North America
RMA number for Polycom KIRK Handsets:
- Complete the KIRK DECT RMA Form (North America)
- E-mail the RMA form to rmacoordinator@polycom.com
- When you have received your RMA number, please forward the RMA form including the RMA number and the item(s) for repair to the address specified in the RMA form. Please note that the customer is responsible for freight charges to ship the defective hardware to Polycom. Polycom bears shipping charges when returning the repaired item(s) to the customer.
RMA number for Polycom KIRK Infrastructure:
All RMA inquiries for infrastructure elements must be handled by Polycom Technical Support. Please contact the Polycom Technical Support via 800.775.5330 (option 7 in the voice mail is for KIRK DECT).
Europe, Middle East and Africa
RMA number for Polycom KIRK Handsets and Infrastructure:
- Complete the KIRK DECT RMA Form (EMEA)
- E-mail the RMA from to emeaom@polycom.com
- When you have received your RMA number, please forward the RMA form including the RMA number and the item(s) for repair to the address specified in the RMA form. Please note that the customer is responsible for freight charges to ship the defective hardware to Polycom. Polycom bears shipping charges when returning the repaired item(s) to the customer.

How do I return products for repair to Polycom?
The return address is specified on the RMA form, and can be provided by the RMA Help Desks.
When returning any material for repair to Polycom, please follow the steps below:
- Label your package with the RMA number on at least 2 sides
- Use foam and bubble wrap to protect the equipment
- Ensure the shipped products/P- IDs match those specified in the RMA Form
Following these steps will ensure fast processing of units and prevent unnecessary damages. Units not properly labeled with RMA numbers may create delays in processing the RMA.
What is the status of my RMA?
When you have received your RMA number, you can find tracking details/status of your RMA including transportation and appropriate tracking links here.
Out of warranty replacement/repair
For RMA requests on products out of warranty and not covered by a KIRK Service Offering the following will apply:
- RMA requests counting less than 6 unites will be applied an administration fee
- Return time is 30 working days
